Common
Questions
Will I have a dedicated property manager?
EVERGROW is intentionally organized around a team of specialists rather than assigning every responsibility to a single individual.
Depending on your needs, you may work with specialists in leasing, maintenance, inspections, accounting, or owner services. Each discipline requires specialized expertise, and organizing our company this way allows every aspect of your investment to be managed by professionals who focus on that discipline every day.
Behind the scenes, our systems ensure every conversation, decision, and task is documented, allowing your property to benefit from the collective knowledge, experience, and accountability of our entire team—not just one individual.
How should I communicate with EVERGROW?
The Owner Portal is the preferred method of communication throughout your relationship with EVERGROW.
Using the Owner Portal keeps your questions, approvals, maintenance activity, documents, and property communications organized in one secure location while creating a complete history of your property’s management.
Of course, you’re always welcome to contact us by phone or email. Regardless of how you reach us, your inquiry will be documented, routed to the appropriate specialist, and managed through the same disciplined processes that guide every aspect of our relationship.
How do I stay informed about maintenance and repairs?
Your Owner Portal provides complete visibility into the maintenance and management of your property.
Throughout the life of every work order, you’ll be able to review vendor updates, estimates, invoices, photographs, approvals, and supporting documentation—all organized within a single record. Whether a repair has just been reported, is awaiting approval, is in progress, or has been completed, you’ll have access to the information needed to understand what’s happening and why.
If you need assistance using the Owner Portal, our Portal Support & Tutorials are available to help.
When are owner distributions and monthly statements processed?
Owner distributions and monthly statements are processed on the 14th of each month.
If the 14th falls on a weekend or recognized holiday, distributions and statements will be processed on the next business day.
Your monthly statement will be published to your Owner Portal, where you’ll find a detailed record of income, expenses, invoices, distributions, and other account activity for the reporting period.
At year-end, your annual tax reporting documents will also be published to your Owner Portal to assist you and your tax professional with year-end tax preparation.
Will I approve a new resident before the lease is signed?
No. Under your Management Agreement, EVERGROW is responsible for evaluating applicants and executing leases on your behalf. Every prospective resident is evaluated using our published Qualification Standards and the same documented screening process, ensuring every applicant is treated fairly, consistently, and in compliance with all applicable Fair Housing and Equal Housing laws.
By applying the same standards to every applicant, we protect your investment, our brokerage, and the integrity of the screening process.
When will EVERGROW contact me for approval?
One of the advantages of professional management is knowing which decisions require your involvement—and which don’t.
EVERGROW manages the day-to-day operation of your property within the authority you’ve delegated through your Management Agreement, allowing us to respond efficiently while keeping you involved whenever your approval or input is appropriate.
We’ll typically contact you when:
- A repair exceeds your authorized spending limit.
- A repair is recommended but not immediately required.
- Your property requires owner review or approval as part of the make-ready process before leasing.
- A project is significant enough to warrant obtaining estimates before work begins.
- A decision falls outside the authority granted to EVERGROW under your Management Agreement.
Our philosophy is simple.
Professional management works best when responsibilities are clearly defined. We assume responsibility for the day-to-day management of your property, and we involve you whenever your approval or input is appropriate.
Can I request multiple estimates for repairs?
Protecting your investment isn’t about collecting the most estimates. It’s about selecting qualified professionals who consistently deliver quality workmanship at fair and competitive market pricing.
That’s why EVERGROW coordinates vendor selection through a network of licensed, insured, and vetted professionals we’ve come to trust over many years of managing residential investment properties.
When the size, complexity, or cost of a project warrants additional evaluation, we’ll obtain multiple estimates and present our recommendations before moving forward.
Can I perform repairs or use my own contractor?
Protecting your investment requires more than simply completing a repair. It requires ensuring the work is performed safely, documented appropriately, completed to a consistent standard, and coordinated in a way that supports both your residents and your long-term ownership objectives.
For that reason, EVERGROW coordinates the maintenance and repair of your property through our network of licensed, insured, and vetted vendors. This allows us to maintain consistent standards for quality, documentation, communication, and accountability throughout every repair.
There are limited circumstances where owner-performed work may be appropriate. As outlined in your Management Agreement, owner-performed repairs are generally limited to non-emergency work completed while the property is vacant. Before the home is marketed for lease, we’ll evaluate the completed work to confirm it meets our Rent Ready standards.
Our objective isn’t to control who performs the work. It’s to ensure every repair contributes to a safe home, a positive resident experience, and the long-term performance of your investment.
What can I expect when my property becomes vacant?
A vacancy marks the beginning of a structured process designed to prepare your property for its next resident as efficiently as possible.
After possession is returned, we perform a comprehensive move-out evaluation to document the property’s condition and identify any work needed to return the home to our Rent Ready standards.
We also distinguish between resident responsibility and owner responsibility for any damages or repairs. Where appropriate, eligible charges are applied against the resident’s security deposit before determining any remaining owner responsibility.
From there, we develop a make-ready plan, distinguish resident responsibility from owner responsibility where applicable, obtain approvals when required, coordinate the work, and keep you informed through your Owner Portal.
Once the property meets our Rent Ready standards, our leasing team launches marketing using our standardized leasing process, actively monitors market response, and works to secure the next qualified resident as efficiently as market conditions allow.
