Questions

All maintenance requests should be submitted through your Resident Portal whenever possible.

Submitting your request through the Resident Portal allows our team to document the issue, evaluate the repair, coordinate with the appropriate vendor, and keep you informed throughout the process. You’ll also be able to monitor the status of your work order and review updates as work progresses.

When submitting a maintenance request, the more information you provide, the better. Whenever possible, include:

Once your maintenance request is received, our team will review the information provided to better understand the issue, determine the appropriate course of action, and assign the work to the appropriate vendor or member of our maintenance team. If additional information or clarification is needed before we can proceed, a member of our team may contact you.

Throughout the process, you’ll be able to monitor the status of your work order through your Resident Portal, including updates, scheduling information, vendor comments, photographs, and other important activity related to the repair.

Some repairs can be resolved quickly, while others may require additional evaluation, specialty vendors, ordering parts, or coordinating access to the property. Our goal is to complete every repair as efficiently as possible while ensuring the work is performed safely and to an appropriate standard.

When scheduling or access to the property requires your participation, a member of our team or the assigned vendor will contact you directly.

While the owner is generally responsible for maintaining the home, residents may be responsible for repairs resulting from negligence, misuse, abuse, or a failure to fulfill the responsibilities outlined in the Lease Agreement.

If a repair is determined to be the resident’s responsibility, the cost of the repair, along with any applicable administrative fees permitted under the Lease Agreement, may be charged to your account.

If you’re ever unsure whether a maintenance issue may be your responsibility, we encourage you to submit the maintenance request through your Resident Portal and then use the Work Order Chat to ask any questions you may have. Communicating within the work order helps prevent misunderstandings, reduces the potential for unnecessary conflict, and ensures both you and our team have access to the same information throughout the repair process.

Yes. Residents are required to maintain renters insurance throughout their residency in accordance with the terms of their Lease Agreement.

To simplify compliance, residents are automatically enrolled in EVERGROW’s Total Tenant Protection Plan unless they provide proof of a qualifying renters insurance policy that satisfies the requirements of their Lease Agreement.

Renters insurance helps protect your personal property and may provide personal liability coverage in the event of an unexpected loss or accident. It does not insure the home itself, which is covered by the property owner’s insurance policy.

For a detailed explanation of the Total Tenant Protection Plan and the insurance requirements applicable to your residency, please refer to our Move-In Requirements page or your Lease Agreement.

To help preserve the condition of the home and identify maintenance concerns before they become more significant, EVERGROW conducts periodic property evaluations throughout your residency.

During an evaluation, we’ll assess the general condition of the property, identify maintenance items that may require attention, verify compliance with the terms of your Lease Agreement, and document the condition of the property with photographs.

Property evaluations are scheduled in advance, and you’ll receive notice before the evaluation is conducted in accordance with your Lease Agreement and applicable law. If access to the property is required, we’ll coordinate the evaluation through the normal communication channels used throughout your residency.

If we identify items requiring your attention, we’ll provide a detailed evaluation report outlining our observations, any corrective action requested, and the timeframe for completion. Once the requested items have been addressed, you’ll be asked to submit photographs through your Resident Portal so we can verify the corrections have been completed.

Property evaluations are an important part of professionally managing the home. They allow us to identify maintenance concerns early, document the property’s condition over time, and help protect the home throughout your residency.

Yes. If you’d like to add or remove someone from your Lease Agreement, please submit your request through your Resident Portal.

Because every request is different, the process will vary depending on the circumstances. Additional applications, screening, documentation, lease modifications, owner approval, or other requirements may be necessary before changes can be approved.

Once we receive your request, our team will review your specific situation, explain the applicable process, and guide you through the next steps.

Maybe. If you’d like to add a pet during your residency, please submit your request through your Resident Portal before bringing the animal into the home.

Whether a pet can be approved depends on the owner’s preferences for the property and the terms of your Lease Agreement. If pets are permitted, each household is limited to a maximum of two (2) pets.

Before a new pet can be approved, you’ll be asked to complete a Pet Profile and provide any additional information or documentation required as part of our review process. Depending on the circumstances, additional deposits, fees, pet rent, a lease modification, or owner approval may also be required.

Please do not bring a pet into the home until you’ve received written approval from EVERGROW. Bringing an unauthorized pet into the property may result in a lease violation.

Any alterations or improvements to the property—including painting, installing fixtures, replacing hardware, mounting televisions, or making other permanent changes—require prior written approval from EVERGROW before any work begins.

Because every property and owner’s preferences are different, approval requests are reviewed on a case-by-case basis. Some requests may require owner approval, while others may be approved subject to specific conditions or restoration requirements at move-out.

If you’re considering making any changes to the home, please submit your request through your Resident Portal before beginning the work. We’ll review your request and provide guidance on the next steps.

Maybe. Because these devices often require modifications to the property or may affect existing hardware, they require prior written approval from EVERGROW before installation.

Approval requests are reviewed on a case-by-case basis and may require owner approval depending on the type of device and the proposed installation. Residents may also be required to restore the property to its original condition upon move-out unless otherwise agreed to in writing.

If you’re considering installing a security camera, video doorbell, smart lock, or any other smart home device, please submit your request through your Resident Portal before purchasing or installing the equipment. We’ll review your request and provide guidance on the next steps.

Yes. If your phone number, email address, mailing address, or emergency contact information changes during your residency, please update your information through your Resident Portal as soon as possible.

Keeping your contact information current helps ensure you receive important communications regarding maintenance, property evaluations, lease renewals, account activity, and other matters related to your residency. It is also a requirement of your Lease Agreement that you maintain current contact information throughout your tenancy.

If you need assistance updating your information, please send us a message through your Resident Portal, and we’ll be happy to assist.

We understand that circumstances can change. If you need to end your lease before its scheduled expiration, please notify us as soon as possible through your Resident Portal.

Early termination of a lease is governed by the terms of your Lease Agreement and may include notice requirements, financial obligations, and other conditions that must be satisfied before your tenancy can be concluded.

Once we receive your request, we’ll review the applicable lease provisions with you, explain the process, and guide you through the next steps.

If you intend to move out at the end of your lease, you’re required to provide at least thirty (30) days’ written notice.

Notice to Vacate must be submitted through your Resident Portal. As part of your notice, please be prepared to provide:

After you’ve returned possession of the home, we’ll complete a final property evaluation, finalize your move-out accounting, and prepare a detailed statement of your final account, including any applicable charges, credits, and the disposition of your security deposit.

In accordance with applicable state law, any refundable portion of your security deposit, along with an itemized accounting, will be returned within forty-five (45) days following the end of your lease.

To help avoid unnecessary delays, please ensure your forwarding address and banking information are included when you submit your Notice to Vacate.

No. EVERGROW is a professional residential property management company. The homes we manage are owned by individual property owners and real estate investors who have entrusted us with the day-to-day management of their property.

As the owner’s authorized representative, we’re responsible for managing the home in accordance with the Management Agreement, your Lease Agreement, and all applicable laws. While many day-to-day decisions are made by EVERGROW, certain requests may require owner approval or funding before we can proceed. When that occurs, we’ll continue to communicate with you and keep you informed throughout the process.

Our goal is to provide professional management, clear communication, and a consistent resident experience while serving as the primary point of contact throughout your residency.

Unless your Lease Agreement specifically states that a utility or service is provided as part of your rent, it should be assumed that it is your responsibility for the duration of your tenancy.

Because utility responsibilities, lawn care, snow removal, and other routine property care can vary by property, we encourage you to review your Lease Agreement before making changes to utility accounts or service providers.

If you have questions about your responsibilities, please send us a message through your Resident Portal before making any changes. We’re happy to clarify your obligations and help prevent service interruptions, unnecessary charges, or misunderstandings.
